Wedding Guest Transportation: How to Plan Shuttles for Your Guests

Wedding guest transportation means moving your guests between hotels, the ceremony and the reception, usually with a shared shuttle or a private bus. You don’t have to provide it, but it helps a lot when your venues are spread out, parking is limited or many guests are from out of town.

This guide walks you through the planning in plain steps: whether you need shuttles, how many seats to book, how to build the schedule and how to get everyone home safely. The numbers come from the vehicles we drive for Calgary weddings every season.

Do You Need to Provide Wedding Guest Transportation?

You’re not required to, and many couples don’t. Wedding guest transportation is worth it in a few common situations:

  • Your ceremony and reception are in different places. One bus keeps everyone together and on time.
  • Most guests are staying at one or two hotels. A hotel loop is simple and saves guests from booking taxis.
  • Your venue is outside the city. Acreages, golf courses and rural venues around Calgary often have few taxis and a long wait for a ride home.
  • Parking is limited or paid. A shuttle means fewer cars to park and fewer guests driving in the dark.
  • Alcohol is being served. Guests can relax without worrying about how they’ll get back to the hotel.

If none of these apply, share driving directions, parking details and local taxi numbers on your wedding website instead. Guests still appreciate a clear plan.

How Many Guests Will Actually Ride the Shuttle?

Not every guest will use your wedding guest transportation. Locals often drive, and some guests leave early. A useful starting point is to plan seats for about half to two-thirds of your guest list, then adjust with real numbers.

The easiest way to get real numbers is to ask. Add a simple question to your RSVP card or wedding website: “Will you be taking the shuttle?” Ask for the hotel each guest is staying at too, so you know where the pickups need to be.

Once you have a count, match it to a vehicle size. Here’s what each vehicle in our fleet holds:

Mercedes SprinterUp to 14 adultsWedding party, family members, small hotel groups
Grech mini-coachUp to 27 adultsMid-size weddings, one hotel loop
MCI luxury coachUp to 54 passengersLarger weddings, longer drives, one trip for most guests

One Big Bus or Several Loops?

This is the biggest decision in wedding guest transportation, and it comes down to time and distance.

One trip with a larger bus works best when the drive is long or the timing is tight. If 50 guests need to arrive at a ceremony 40 minutes away, a 54-passenger coach gets everyone there together in one run.

Loops with a smaller bus work when the drive is short. A 14-seat Sprinter on a 15-minute route can usually make a round trip, including loading, in about 40 to 45 minutes. Two loops move up to 28 guests, but the first group will wait at the venue while the second group travels.

Two vehicles at once suit weddings with guests at two hotels. Each vehicle runs its own pickup, and both arrive at about the same time.

A quick rule: if your guests would need more than two loops, a larger vehicle is usually the better choice. Long waits between loops are where wedding timelines start to slip.

How to Build Your Wedding Shuttle Schedule

Start with your ceremony time and work backwards, because every part of your wedding guest transportation depends on it. Here’s a sample timeline for a 4:00 pm ceremony with the reception at a second venue:

Sample wedding guest shuttle timeline from hotel pickup to ceremony, reception and the last ride back
  1. 2:45 pm: First pickup at the hotel. Ask guests to be in the lobby 10 minutes early.
  2. 3:30 pm: Guests arrive at the ceremony, 30 minutes before it starts.
  3. 5:00 pm: Shuttle from the ceremony to the reception, after photos with guests.
  4. 10:00 pm: Early return to the hotel for families with children and guests who want to leave early.
  5. 12:30 am: Final return to the hotel after the last dance.

Build in buffer time for photos, traffic and guests who are running late. In Calgary, also allow extra time for winter roads from November to March, and for downtown traffic during big events like the Stampede in July.

Share the final schedule on your wedding website and in your hotel welcome bags. Give one person, such as a planner or a reliable friend, the driver’s contact details so guests have someone to ask on the day.

Getting Guests Home Safely After the Reception

The ride home is the part of wedding guest transportation that matters most. It comes at the end of a long day, often late at night, and often after drinks.

Alberta has strict penalties for impaired driving, including licence suspensions and vehicle seizures, according to the Government of Alberta. A shuttle back to the hotel removes the pressure for guests to drive or to wait a long time for a ride.

We suggest at least two return times: an early one around 10:00 pm and a final one after the last dance. Make sure guests know exactly where the shuttle will wait and when the last one leaves.

Shuttles for Weddings Outside Calgary

Many couples choose venues in the foothills or the mountains. Longer drives change your wedding guest transportation plan:

  • Choose a coach for long trips. Our 54-passenger coach has an onboard washroom and reclining seats, which helps on a drive of an hour or more.
  • Plan one trip each way. Loops rarely work over long distances because each round trip takes too long.
  • Check the total hours. Driver time includes the drive out, the wait during the event and the drive back.

For mountain venues, tell us the exact location and timing when you ask for a quote, and we’ll plan the route with you.

What Information Does a Shuttle Company Need?

To plan your wedding guest transportation, a shuttle company needs a few details. Having them ready makes your quote faster and more accurate:

  • Your wedding date
  • The number of guests who will ride
  • Every pickup and drop-off address (hotels, ceremony, reception)
  • Your ceremony and reception times
  • The time of the last ride home
  • Any guests with mobility needs

What We’ve Learned From Planning Wedding Shuttles

After 12+ years of driving groups around Calgary, a few wedding guest transportation lessons come up at almost every wedding:

  1. The last ride home is always the busiest. Plan your largest vehicle, or two vehicles, for the end of the night.
  2. Guest counts change late. Book a size with a few spare seats rather than an exact fit.
  3. Clear pickup points save time. Name the exact door or lobby, not just the hotel.
  4. Photos run long. Add 15 to 20 minutes of buffer between the ceremony and the reception shuttle.

Frequently Asked Questions

Do I have to provide transportation for wedding guests?

No, wedding guest transportation is optional. It’s most helpful when venues are far apart, parking is limited, many guests are from out of town or alcohol is served.

How many shuttles do I need for my wedding?

Plan seats for about half to two-thirds of your guests, then confirm with RSVPs. If guests would need more than two loops, choose a larger bus or add a second vehicle.

How far in advance should I book wedding shuttles?

Book as soon as your venues and date are confirmed, ideally several months ahead. Summer Saturdays fill up first, so early booking gives you the best choice of vehicles.

Should the shuttle run all night?

Usually not. Most couples book a pickup before the ceremony, a transfer to the reception and two return times, one early and one after the last dance, to save hours.

What size bus do I need for 50 wedding guests?

A 54-passenger coach fits 50 guests in one trip with a few spare seats. You could also use a 27-seat mini-coach on two loops if the drive between venues is short.

Can a wedding shuttle pick up from more than one hotel?

Yes. One vehicle can stop at two nearby hotels, or two vehicles can run at the same time when the hotels are far apart, so all your wedding guests arrive together on time.
